Verification of Enrollment (VOE) and WN Reversal

VOE Roster CUNY Directive:

  • The CUNY Verification of Enrollment (VOE) directive (excerpt below), each semester the College faculty are required to submit VOE rosters through CUNYFirst.

  • Faculty will receive an email notification when the VOE rosters will be available.

  • Submission of VOE rosters are required of every faculty member with the exception of those that teach non-graded courses.

  • Failure to submit a VOE roster for a class can result in significant negative financial implications for our students.

  • Federal Title IV regulations require that a student begin attendance to qualify for Title IV aid. The College must be able to document verification of enrollment in each course or participation in an academically related event connected to that course. A student is considered to have begun attendance if the student attends at least one day of class or is otherwise active and participating in the course or academically related activity for each course used to determine Title IV eligibility (e.g. by submitting assignments, attending a required study group, academic conference or tutorial).

Academically related activities include, but are not limited to:

  • Physically attending a class where there is an opportunity for direct interaction between the instructor and students;

  • Submitting an academic assignment;

  • Taking an exam, an interactive tutorial or computer-assisted instruction;

  • Attending a study group that is assigned by the school;

  • Participating in an online discussion about academic matter;

  • Engaging in an online academically related activity, or initiating contact with the instructor to ask a question about the academic subject studied in the course or ask a course-related question.

  • Note: Logging into an online class is not sufficient, by itself, to demonstrate participation in an academically related activity by the student.

To Submit Your VOE Roster:

  • Log into your CF account, go to Faculty Center, then select VOE Roster. The term should read the current term and the college, Borough of Manhattan Community College.

  • The default for all students is Yes, participated.

  • If a student has NOT participated, select No, never participated.

  • Once complete, click Submit (Submit completed roster to the Office of the Registrar) at the bottom of the page, the roster is then recorded as completed in CF.

  • Download VOE Instructions
  • By selecting No, never participated, faculty members are assigning a student a WN grade.

  • The WN grade will be manually posted by the Registrar one business day after the VOE Roster Reporting period concludes.

  • In order to request a WN Reversal, please click on the WN Reversal section below.

The WN Reversal form is to be used to amend the Verification of Enrollment (VOE) Roster after the WN grade has been assigned and before the final grade rosters are created. The reversal will remove the grade, update your VOE Roster, reinitialize BlackBoard, and reinstate Financial Aid. Please note this process can take up to 72 hours after confirmation that your request has been processed.

Important Notes:

  • If you are here before the form opens AND before the VOE Reporting Period ends, make changes to your VOE Roster after requesting the Registrar unlock your roster. Please email us at registrar@bmcc.cuny.edu
  • If you are here after the form closes, the WN Reversal is no longer available and you must use the Change of Grade form
  • Why can’t I submit a WN Reversal before/after the dates above? WN grades may only be reversed when CUNYfirst will allow changes to be made. The systems required to change the grade, update your VOE Roster, reinitialize BlackBoard and Financial aid may take up to 72 hours for changes to propagate, therefore we must have hard deadlines to accommodate CUNYfirst.
  • Why is there a delay from CUNYfirst/BMCC Portal/BlackBoard? WN grades are manually assigned to student records one business day after the VOE Rosters close. It takes an additional 24-48 hours after the grade appears on CUNYfirst for the WN grade to propagate throughout our systems and appear on the BMCC Portal. The WN Reversal form cannot be opened over the weekend due to technical complexities. It then can take an additional 24-48 hours for the student to regain access to BlackBoard, again due to propagation requirements. In the future we hope CUNY will enable dynamic integrations, until then we appreciate your patience and understanding of this lengthy and manual process.
